1. Definitions: Unless inconsistent with the context in these conditions
1.1 “Client” shall mean the person undertaking to purchase the tour and travel thereon as customer.
1.2 “Signature hereof: shall mean signature on the booking form of the customer
1.3 “The Company” shall mean Awland Safaris.
On confirmation of the booking, please complete the attached booking form that will be sent to you. A deposit payment of 30% of the total tour price should be paid within 72 hours of confirmation of the reservation. The balance owing in the invoice must be paid 60 days prior to departure.
The company reserves the right to cancel any reservation for which the total price has not been paid by due date, in which event the deposit will be forfeited to the company. Awland Safaris guarantees the price of land agreement once full payment has been received, except where subsequent increases are beyond the control of Awland Safaris. Airfares are subjected to the prices and conditions quoted by the airlines and cannot be guaranteed by Awland Safaris.
As soon as your initial payment is received, we will send you a Travel Pack containing confirmed Itineraries, acknowledgement of your deposit, and accommodations as well as pre-departure information and emergency contact details.
Note: The balance (70%) is due 60 days prior to the day your tour commences.
The contract price is based on fares, hotel prices, and land costs, and all other relevant costs ruling at the time of acceptance of the quotation and payment of the required deposit. In the event of their being any increase in any or more of the foregoing costs before scheduled date of the tour, such variation shall be for the account of the customer, and shall be added to the contract price arising from fluctuations in rates of exchange between the date hereof and the scheduled departure date of the tour.
Cancellation and Curtailment
In the event of a customer cancelling their trip for any reason, such cancellation must be made in writing and in such instances, cancellation charges shall be levied in accordance with the maximum charges which can be imposed.
- Up to 30 days prior to departure - 20% of total purchase amount is forfeited
- 29-14 days prior to departure - 50% of total purchase amount is forfeited
- Less than 14 days prior to departure - 100% of total purchase amount is forfeited
Cancellation policy during peak period being 20 December - 08 January, will be more stringent. Cancellation fees shown above are additional to any which may be raised by airlines in respect to air reservations.
Note: Should the canceling party be able to find a replacement for themselves no less than 14 days prior to departure, no cancellation fee. However, should no replacement be found by 14 days prior to departure, a 100% cancellation penalty will apply to the canceling client.
- There is 6% handling fee add-on to the above penalties.
Unused Services and Refunds
No refunds will be considered for no-show or any unused services irrespective of whether they form part of the basic tour price, or in respect of pre-booked optional arrangements. No refunds will be considered on partially used accommodation or flights.
Cancellation by Company
In the event of the company cancelling any tour, which it shall be entitled to do at any time before the scheduled departure date. The full amount paid by the customer on account of the contract price shall be refunded to him.
Changes in Booking
It may happen that due to circumstances beyond the company’s control, it will be necessary for the company to amend the booking and in such circumstances the company shall be entitled to, change some aspects of the tour, e.g. timings, routes and the like. If the company is obliged to make any such changes, these will be kept at minimum and the customer will be advised at the earliest convenience.
Passport, Visas, Vaccinations and Inoculations
The responsibility for the provision of current and valid passports, visa, vaccinations , inoculations and the like where required is that of the client alone and the company shall not be responsible or liable for any consequences of any nature arising from the client failing to ensure that he/she has complied with all such requirements
The client acknowledges that the tour is booked and all tour arrangements are made under the express condition that the company and its servants and agents shall not be responsible for and shall be exempt from all liability in respect of any loss, damage, injury, accident, delay or inconvenience of any person or his language or their personal property wherever or howsoever the same shall occur and the client hereby releases the company and its servants and agents from all such liability to the client and/or the client’s dependants and/or to other persons on whose behalf the customer may have booked the tour by signing the Booking Form on the face hereof and the client hereby indemnifies the company, its servants and agents, against any claims made by his dependants and/or such other persons.
Credit Card Payment
Credit cards are generally accepted for payment of published airfares incorporated into Awland Safaris tour products. Credit cards may, in certain instances, not be acceptable for payment of Awland Safaris products based on non-published or discounted airfares. Further information will be supplied on request.
It is recommended that clients arrange travel insurances for medical, personal, property, or cancellation.
